Vape Batch Traceability Guide for Wholesale Buyers

Vape batch traceability is the ability to connect ordered and delivered units to a defined product identity, production lot, supplier record, warehouse movement and customer or destination record. For wholesale buyers, the goal is not paperwork for its own sake: it is faster receiving, controlled quarantine, targeted issue handling and a defensible record of what was purchased.

What should a vape batch record contain?

Use stable identifiers wherever possible. A marketing name alone may be reused across production runs or options, so connect it to the supplier SKU, barcode, batch or lot code, production date and packaging images.

1. Define the traceability unit before ordering

The most useful traceability unit is the smallest group that can be reliably identified throughout the order. If a lot code appears only on the master case, the buyer may be able to trace cases but not loose units after they are mixed. Ask where each identifier appears and decide whether unit, inner-box or case-level tracking is required.

Record how flavor, nicotine strength, color or other variants are separated. Two units with the same model name but different options should not share one stock code if the receiving or market review needs to distinguish them.

2. Link the purchase record to the batch

Before payment, the exact batch may not yet be assigned. In that case, leave the field pending and require it at packing or dispatch. The final record should connect the purchase request, quotation, invoice, packing list and receiving record through stable order and product identifiers.

  • Use one quotation row per SKU and ordered option.
  • Record the expected unit, inner-box and case quantities.
  • Ask when the batch identifier will become available.
  • Require substitutions and mixed batches to be disclosed in writing.
  • Keep links or file references to the approved product evidence.

3. Capture dispatch evidence

At dispatch, request a packing list and clear images of representative unit packaging, inner packs, master-case labels and lot or batch codes. The images should be readable and associated with the order, not undated examples from a different shipment.

For mixed batches, record the quantity of each batch by SKU. Do not replace the batch field with “various” if the supplier can provide a breakdown. If the breakdown is unavailable, mark the limitation and decide whether the order can still meet the buyer’s control requirements.

4. Reconcile the shipment at receiving

Receiving should compare physical stock with the approved record before units are released for sale or onward distribution. Photograph the unopened shipment, shipping labels and case marks. Count cases and sampled inner packs, then compare SKU, variant, barcode, batch code and packaging.

5. Keep batch identity through storage and resale

A receiving record loses value if batches are mixed without a movement record. Use separate locations, labels or stock-system fields when a later issue may require a targeted hold. Record transfers between warehouses and the customer or destination records associated with each dispatch, subject to applicable privacy and record-retention rules.

Define a retention period based on legal advice, product lifecycle, contractual requirements and the time in which complaints or regulatory questions may arise. Keep files readable and backed up; a filename should identify the document rather than relying on a person’s memory.

6. Use traceability for complaints and corrective action

When an issue is reported, first identify the exact SKU, batch, quantity and locations involved. Separate confirmed facts from allegations. Preserve photographs, correspondence and samples where appropriate, then notify the responsible supplier or manufacturer through an agreed route.

A batch record allows a proportionate response: hold the affected lot while checking whether other lots are actually implicated. Record the decision, person responsible, dates, units affected and conditions for release or other action. Frequently asked questions

Is a barcode the same as a batch number?

Usually not. A barcode commonly identifies a product or pack configuration, while a batch or lot code identifies a production group. Record both when available.

What if the batch code appears only on the master case?

Document that limitation and preserve the relationship between the case and its units. If loose units will later be mixed, decide whether additional internal labels or system records are needed.

Should every shipment be photographed?

The scope should be risk-based and defined in the receiving procedure, but photographs of shipping labels, case marks and representative product labels are a practical way to preserve what arrived.

Does traceability prove a product is eligible for a market?
