Wholesale vape product verification should connect one exact SKU to its manufacturer, specifications, batch evidence, packaging, commercial terms and intended destination. A product name, image, puff-count claim or general certificate is not enough to prove that the item quoted is the item documented.

What should be verified for every vape SKU?

Create one verification record per SKU and option. Do not combine similar models into a single row merely because their names or packaging look alike. A change in nicotine strength, liquid capacity, device configuration, flavor, barcode or packaging can affect which evidence applies.

Build a product identity chain

The purpose of an identity chain is to make it possible for a second reviewer to trace the quotation back to the physical stock. Start with the product link and quotation row. Record the exact model spelling, option, SKU, barcode and case marking. Then compare those values with the datasheet, packaging images, batch evidence and any regulatory record.

If a supplier changes one identity field, do not silently overwrite the record. Note the old value, the new value, who supplied the change and when it was accepted. This makes later invoice, delivery and complaint checks far easier.

How should puff-count and capacity claims be treated?

Puff count is an estimated usage claim, not a guaranteed number of puffs for every user. Results can vary with draw duration, power mode, airflow, coil, liquid delivery and the test method. Ask the supplier to identify the test method and the exact model tested. Record the claimed value as a catalog specification, not as verified consumer performance unless independent evidence supports that conclusion.

Liquid capacity, nicotine strength and device configuration should be checked separately. A large number printed on a package does not replace the destination-specific limits, notification requirements or product-format rules that may apply.

Check whether each document actually matches

Use a document register instead of storing files without context. For each file, record its title, issuer, report or certificate number, subject product, applicant or manufacturer, issue date, expiry date if any, market scope and the exact quotation row it supports.

  • Identity match: Does the document name the same manufacturer, brand, model and variant?
  • Scope match: Does it cover the device, liquid, battery, packaging or other subject relevant to the check?
  • Market match: Is it intended for the destination under review?
  • Date match: Was it valid for the production and purchase period?
  • Issuer check: Can the issuing body and reference be independently verified?
  • Batch link: Can the buyer connect the document to the stock being shipped?

A document can be genuine yet irrelevant to the quoted SKU. Record “not matched” or “needs clarification” instead of forcing an uncertain file into a pass result.

Use official market sources as the verification starting point

Regulatory status can change. Check the official source close to the order date, save the result and record who performed the check.

Verify the batch and stock being offered

Product documentation is most useful when it can be tied to a batch or defined production period. Ask for the lot or batch identifier, manufacturing date, case-mark image, stock quantity, warehouse, and date of the stock check. If the documents are model-level only, label them as model-level and record what batch-specific evidence is still missing.

What should happen before payment?

  1. Freeze the exact SKU, options, quantity, case configuration and destination in writing.
  2. Compare the quotation with the product identity record and current product page.
  3. Resolve every mismatch in manufacturer, model, barcode, capacity, nicotine, packaging or warehouse.
  4. Record applicable documents and official-source checks for each SKU.
  5. Verify the contracting entity, invoice and payment recipient.
  6. Approve, hold or reject each row; do not approve the entire order while a material row remains unresolved.
  7. Retain the final quotation, evidence register and approval record.
